ROLE AND RESPONSIBILITIES
I seek an Executive VA to work directly with me…the Agency Broker/Owner, providing Prospecting Support, and Administrative Support to attract, develop, and retain clients. I own a rapidly growing health insurance agency, and I strive to deliver on my brand promise to my clients. That is a promise of Convenience, Choice, and Counsel, while creating a unique and personal experience.
Essential Functions/Principal Responsibilities:
Prospecting Support:
• Warm and Cold Calling Both New Prospects and Existing Clients
VA will reach out to potential clients that have been obtained from various sources utilizing a VOIP communication system.
• Lead Screening and Qualification
VA will follow script(s) and qualification checklists to identify prospects and schedule appointments, enabling the broker to dedicate time/attention to qualifying needs and selling to scheduled clients.
• Prospect and/or Client Follow Up
Prospecting requires following up again and again. VA will perform this activity routinely and systematically. As a part of the prospecting Virtual Assistant’s role, this crucial element won’t fall through the cracks.
• Lead Nurturing
VA will track qualified leads and help with automated content delivery to increase engagement.
Administrative Support:
• Transaction Coordination
From Policy Application to Policy Delivery and everything in between, the Virtual Assistant will assist with management and monitor all phases of the transaction process.
• Administrative Support
VA will perform a variety of administrative tasks for such as servicing incoming calls and emails, management of calendars, run reports, updating CRM, and assisting with event coordination and travel arrangements.
• Accounting and Bookkeeping
VA will assist with maintaining general business financial records such as accounts payable and receivable, reconciling bank statements, and invoicing. Additionally, managing reimbursements for Marketing related expenses.
QUALIFICATIONS & PREFERRED SKILLS
• Bachelor’s Degree or commensurate experience.
• 5-10 years of relevant experience. Experience in a role supporting executives – Insurance or Real Estate background is a plus.
• Some knowledge of US Health Insurance, and/or HealthMarkets/Inshpere Insurance is a plus.
• ADVANCED Google or competing Virtual Office Technologies a HUGE PLUS.
• Ability to analyze qualitative and quantitative information and translate into strategic deliverables
• Self-motivating individual who is detail-oriented, has strong organizational skills, and the ability to work independently and within a team under deadlines.
• Attention to detail is important. An individual who is thorough in accomplishing a task with concern for all the areas involved.
• Ability to multi-task, work successfully under pressure and effectively manage time and workload
• Transaction management potential preferred.
• Excellent verbal and written communication skills
• A desire to work within a dynamic, diverse, collaborative, and driven professional environment
